A school management system puts an institution’s core work on one database: admissions, student records, attendance, grades, timetables, fees and parent communication. Each student has one record, and every office sees the parts its role allows.

Most schools start with two or three modules and add more in phases.

Attendance and parent alerts

Choose the method that suits your school: teachers tapping on a tablet (no new hardware), QR codes on student cards, or RFID cards where readers already exist. We do not push face recognition, because children’s biometric data needs strong justification and consent. Once a student is checked in, the system notifies parents through the school’s LINE Official Account, with no new app to install.

Tuition billing with PromptPay QR

Set fee structures by level, add-ons and discounts, then issue invoices for the whole school at once. Each invoice carries a PromptPay QR for that student’s amount. Connected to a bank or payment provider’s payment-verification service, the system can mark payments and issue receipts automatically; otherwise finance confirms from a single screen instead of matching slips in chat.

Nursery and kindergarten features

Daily reports covering meals, naps, toileting, mood and activity photos, sent to parents on LINE each evening. Pickup authorization with photos of approved adults; if someone not on the list arrives, parents are alerted. Photos are shared only with the relevant family.

College and university features

Course registration with prerequisite, seat and clash checks; credit and study-plan tracking; transcripts generated from records in your institution’s format; internship records.

Staff and school accounting

Staff records, leave, teaching load, purchasing and accounts. This is close to a company ERP, so we build on the same approach as our custom ERP development and can export to the accounting software your accountant already uses.

Custom vs off-the-shelf

When off-the-shelf is enough: a small school whose processes match the standard, where teachers already use the program comfortably; or when you only need online classrooms and Google Classroom already does the job; or when there is no budget or staff to maintain a system long term. 2. Clickable prototype so teachers and staff can try screens before we build
3. Phased rollout, usually timed for the start of a term or admission season
4. Training by role, with Thai manuals and short videos for new staff
5. Handover of source code, documentation and server access

Migrating from spreadsheets or an old program

We build import templates for students, guardians, classes, subjects, past results and outstanding fees, catch duplicates such as one student spelled two ways, and have the registrar reconcile totals before go-live. The old system can run in parallel until the team is confident.

Security and PDPA for minors’ data

How is a custom system different from an off-the-shelf school program?

Off-the-shelf programs are built to suit most schools: quick to start and cheap at first. A custom system follows your institution's real workflow, such as bilingual programmes, several fee structures or group-wide reporting. If a ready-made program already covers your needs, we will tell you to keep it.

Can it connect to Ministry or governing-agency systems?

We do not claim direct integration with any specific government system. What we do is export data in the file formats your registrar needs for reporting to the governing agency, based on the templates your school already uses, and have staff test the import before go-live.

How are parents notified on LINE?

Through your school's own LINE Official Account. Parents add it once and link to their child. The system sends messages on check-in, absence, lateness or new invoices. Messaging costs follow your LINE OA plan, which the school owns.

Do we need face recognition for attendance?

No. We offer face-free options: teachers tapping on a tablet, QR codes on student cards, or RFID cards. Children's biometric data is sensitive under PDPA, so we recommend avoiding it unless there is a clear need.

Does it support nurseries and kindergartens?

Yes: daily reports to parents (meals, naps, toileting, photos) and pickup authorization, where parents register who may collect the child and teachers check name and photo on screen before release.

Can colleges and universities use it?

Yes. We build course registration, credits, prerequisites and transcripts around your institution's regulations, or a single module that your central system lacks.

Can you migrate our old student data?

Yes. We prepare import templates for students, parents, classes and past results, clean duplicates, and have the registrar reconcile totals against the source before go-live.

Do we get the source code?
